The successful candidate will play a vital role in ensuring applicants/borrowers effectively navigate and utilize the I-Bank's online application systems (H2LOans and NJ-Moves).
In addition, this role will be integral in providing program marketing, outreach and phone support.
RESPONSIBILITIES Administrative Support for Operations and Accounting Departments:
Enter applicant/borrower correspondences into H2LOans and NJ-Moves, and internal filing.
Back-fill information on older projects by uploading loan applications and final agreements.
Distribute closing documents/loan agreements to relevant stakeholders and upload final closing documents to the internal filing system.
Create and institutionalize Standard Operating Procedures (SOPs) for various business functions related to borrower and applicant documents.
Assist Program Staff with Data Management and Reporting:
Train and support staff on H2LOans and NJ-Moves usage.
Monitor data integrity within systems and manage applicant/borrower file folders.
Create spreadsheets, charts, and analytical reports using H2LOans and NJ-Moves data.
Borrower Billing and Financial Reports:
Confirm accurate long-term loan information for repayment notifications.
Prepare and distribute semi-annual repayment invoices.
Follow up on delinquent borrowers and maintain billing contact database.
Maintain borrower financial reports.
Requisitions, Certifications, Financial Administration:
Receive and record project requisitions, ensuring complete and accurate processing.
Process certifications, bank transfers, and disbursements efficiently.
Maintain bank account statements and address client queries related to financial processes.
Assisting Financing Program Applicants and Consultants:
Provide support with logins, submissions, data uploads, and user management.
Act as program liaison for stakeholders and ensure smooth processes.
Monitor database submissions and handle applicant inquiries professionally.
Create/institutionalize Standard Operating Procedures (SOPs) for the various business functions relating to the H2LOans and NJ-Moves applications.
Program Marketing, Outreach, and Phone Support:
Manage incoming calls courteously and perform marketing-related calls as required.
Assist with Program seminars, distribute information, and greet visitors professionally.
REQUIREMENTS Knowledge, Skills, and Abilities:
Excellent communication skills, both verbal and written Proficiency with all Microsoft 365 products (Excel, Word, Outlook, PowerPoint, Teams, Access) Must have the flexibility to move between activities and duties quickly if priorities change Excellent time management skills, with the ability to prioritize activities when there is a high volume of tasks Positive attitude for greeting customers, clients, and internal staff Precise attention to detail to ensure that all company documents are free of any errors Education:
Graduation from an accredited college or university with a Bachelor's degree.
NOTE:
Applicants who do not possess the required education may substitute additional experience on a year-for-year basis.
Experience:
Two (2) years of experience of administration experience in either data filing or data processing, direct marketing, or accounting.
License:
Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform the essential duties of the position.
